Goods move every day. Records should move with them.
Hubs in six cities, drivers on contract, warehouse staff through a manpower agency, and a fuel bill arriving as a photo. ZekoHR keeps people and expenses per hub on one record, free for a year.
Up to 50 employees free for 12 months. No card, no sales call.
What the network loses between hubs
Drivers and loaders are not employees
Contract drivers and agency-supplied warehouse staff are the majority and the least recorded. The Contractors module gives each an engagement with dates, rate and hub manager, and agencies propose their own workers.
Fuel, tolls and per-diem
Claims arrive with mileage, tolls and a hotel bill with GST. Expense claims take mileage and per-diem lines, capture GSTIN per receipt, and route by amount and category to the right approver.
Hub HR sees everything or nothing
A hub manager should see their hub, not the network. HR scope narrows HR Managers to assigned companies; roles are enforced per permission.
Hubs as companies, expenses as claims
Multi-company per hub or region, contractors and agencies beside employees, an expense engine with mileage, per-diem, advances and a GST input-credit register, and payroll that publishes payslips to drivers' phones.
- Hub or region as a company, with HR scope per hub
- Contract drivers and agency staff under engagements
- Mileage, per-diem, advances and GST capture on claims

How operators roll it out
Hubs and roles
Create a company per hub or region, assign HR scope to hub HR, and give hub managers the Manager role for approvals.
Contractors in bulk
Import contract drivers from a CSV, add manpower agencies, approve proposed workers, and set engagement end dates so reminders fire before renewal.
Claims with rules
Set categories, mileage rates, per-diem and an approval chain by amount. Push approved reimbursements into the next payroll run or mark them paid out of band.
When ZekoHR is not the right choice
You need trip-level attendance or GPS tracking
Attendance is HR-marked days; there is no GPS, clock-in or trip log. Your fleet management system keeps that.
You need contractor invoices and pay runs now
Contractor timesheets, invoices and a contractor pay run are specified and on the roadmap, not shipped. Today the engagement holds the terms and finance pays outside.
Most drivers have no email
Each portal login needs an email. Without one, HR runs leave and payslips on the driver's behalf.
Common questions
Can drivers submit fuel and toll claims from a phone?
Yes. Claims take line items, receipt photos, mileage and per-diem from the phone browser, with the GSTIN captured where there is one.
How do manpower agencies work?
HR adds the agency; the agency admin signs in and proposes workers; HR approves and each worker gets an engagement with dates and a hub manager. You choose per company what contractor staff can see.
Can hub HR see only their hub?
Yes. HR scope assigns companies to each HR Manager. Admins at head office see the whole network.
Does it compute overtime for warehouse staff?
No. Overtime is entered as a pay component by HR; ZekoHR does not compute it from hours. Our overtime rules guide explains what the labour codes require.
