Every site has a crew. Now every crew has a record.
Engineers rotate between projects, subcontractors bring their own labour, and site expenses arrive as a bundle of receipts at month end. ZekoHR keeps the people and the money per site, free for a year.
Up to 50 employees free for 12 months. No card, no sales call.
What the head office cannot see from Mumbai
Subcontractor labour is a number
You know roughly how many people the subcontractor brought, not who. Add each subcontractor as an agency; they propose workers, HR approves, and every engagement has dates and a site manager.
Site expenses and advances
Site engineers draw advances and submit claims with receipts photographed in the sun. Cash advances are requested, approved and disbursed in the app, then auto-reconciled against approved claims so reimbursement pays only the delta.
People move between projects
A planning engineer is on three projects in a year and the record says one. Departments, designations and manager changes are recorded on the employee timeline, with the manager history intact.
One record per person, one claim per receipt
Multi-company for the SPVs, contractors and agencies beside employees, an expense engine with approval rules by amount and category, mileage and per-diem, and a GST register for the input credit. Payroll runs with pre-flight checks and publishes payslips to phones on site.

How builders bring it in
Entities and sites
Each SPV or project company becomes a company. Sites map to departments or cost centres, so claims and people roll up the way finance wants.
Subcontractors as agencies
Add each labour contractor, let them propose workers, approve in bulk, and set what contractor staff can see, usually nothing beyond their own engagement.
Expenses with rules
Set categories, limits and an approval chain: site manager up to a limit, project head above it, finance for reimbursement. Push approved claims into the next payroll run.
When ZekoHR is not the right choice
You need daily wage registers and muster rolls
ZekoHR records HR-marked attendance days per person, not daily wage registers per site with piece rates. For daily-rated labour under the subcontractor, the register stays with the subcontractor.
You need project costing
Expense reports show spend by category, department, employee and month with a billable split. There is no project P&L or budget-versus-actual; that lives in your ERP.
Most workers have no phone or email
Self-service needs a phone browser and an individual login. Where that is not realistic, HR runs the system on workers' behalf.

Common questions
Can site engineers claim expenses from a phone?
Yes. New claims take line items, receipt photos, mileage and per-diem from the phone browser. Approvers see the claim with the receipt attached.
How do cash advances work?
Employees request an advance, an approver approves, finance marks it disbursed. Approved claims are reconciled against the advance automatically; only the difference is reimbursed or recovered.
Can each project SPV have its own payroll?
Yes. Each company runs its own payroll with its own currency and holiday calendar under one org login. Growth includes three companies, Pro twenty-five.
Does it handle minimum wages and overtime for site labour?
Not automatically. Pay components and overtime are entered by HR; ZekoHR does not compute statutory minimum wages or overtime from hours. Our blog covers the rules so you can set the components correctly.
